Capital On Tap Employee Cards: Set Up Business Expenses (2026)

Capital On Tap lets you add additional cardholders to your business account — useful for giving employees a company card without opening separate accounts. Each employee card draws from the same credit limit as the main account, but you can monitor spend per card and set individual transaction limits.

How to Add Employee Cards

Log in to app.capitalontap.com and navigate to Cards → Add Cardholder. Enter the employee's name, email address, and date of birth. Capital On Tap performs a soft check on the new cardholder and issues a virtual card immediately upon approval. The physical card follows within 3–5 working days.

There is no additional cost to add employee cards — they all share the main account's credit limit. Each additional cardholder must be a UK resident aged 18+. You remain liable for all spend on all cards as the primary account holder.

Setting Spending Limits Per Employee

In the Cards section of the app, you can set a monthly spending limit for each additional cardholder. This caps how much that individual card can spend within a calendar month, independent of the main account limit.

You can also freeze and unfreeze individual employee cards instantly from the app — useful when an employee goes on leave or leaves the company. A frozen card declines all transactions immediately.

Expense Tracking and Accounting

All employee card transactions appear in the main account dashboard with the cardholder's name tagged against each transaction. This makes it easy to review spend by employee at a glance.

When connected to Xero, QuickBooks, or FreeAgent via Capital On Tap's native integration, all transactions — including employee card spend — sync automatically with the cardholder name in the memo field. Your accountant can reconcile individual employee expenses directly from the accounting software.

Rewards on Employee Spend

All spend on employee cards earns the same 1% cashback (or points) as the main card — the rewards go to the primary account. If you're spending £20,000/month across a team of five employees, that's £2,400/year in cashback on top of the initial £75 referral bonus.
